Do your visitors know where to go and which rules apply?

TISAX, ISO 45001, prevention plan: the requirements for your visitors

Access security, co-activity, confidentiality or evacuation: several regulatory, normative or customer requirements apply directly to the visitors and external contractors present on your sites.

1. Define and protect your security zones

   The VDA ISA catalogue expects a security zone concept suited to the information and activities to be protected, in particular to control physical access to sensitive areas.

2. Manage visitors and mobile devices

   VDA ISA expects a visitor management policy covering registration and escort, together with rules on bringing and using mobile devices in security zones.

3. Prepare the work of external contractors

   A joint inspection must take place before an external contractor starts work. Where the activities interfere, prevention measures are agreed between the companies. A written prevention plan (plan de prévention) is mandatory from 400 hours of work, or for certain hazardous operations.

4. Take people from outside the site into account

   Health and safety prevention must consider everyone who may access the workplace, including contractors, visitors and other external people.

   Deliver the mandatory PPE, traffic rules and emergency instructions by visitor type, then check understanding with a short questionnaire when needed.

5. Account for your visitors during an evacuation

   Fire safety arrangements must allow everyone present in the premises to be evacuated, employees and external people alike.

   Keep a live list of the visitors on site, readable on a phone, tick them off at the assembly point and keep the evacuation report.

6. Pass on your environmental requirements too

   Your environmental management system may require you to communicate to external providers the requirements relevant to their activities and to the emergency situations of the site.

   Waste sorting, prohibited products, sensitive areas or what to do in case of a spill: add this information to the journey of the contractors concerned.

7. Meet the requirements specific to your customers

   Confidentiality, escort, named badge, no photography or access limited to certain areas: your customers may impose their own rules on top of the standards.

8. Measure the travel linked to your visitors

   Visitor and customer travel may be part of the indirect emissions your company reports, and calls for reliable activity data.
